Walkthrough Meeting
Your assigned Oaks Event Coordinator will reach out approximately three months prior to your wedding day. They will guide you through the final stages of planning, including your Final Walkthrough and Ceremony Rehearsal, and will be on-site to oversee your wedding day. In some cases, this may be the same person you toured with; in others, it may be another member of our team. While assignments vary, we’re always happy to consider requests for a specific coordinator and will do our best to accommodate them.

What to Expect & Prepare for Your Final Walkthrough Meeting
This meeting is our opportunity to sit down together and review all the details you’ve been planning so we can bring your vision for the big day to life!
During this meeting, we’ll finalize your menu, including wedding party lunch orders, bar package selections, wine upgrades, late-night snacks, and any other food and beverage details.
We’ll also review the following:
- Set up / tear down
- Decor & centerpiece placement
- Vendor information
- Ceremony order & details
- Event-day timeline
- Ballroom floor plan
- Updated guest count (final count due 14 days prior to the wedding)
